Canada Visitor Visa Application Process: Step by Step

A clear step-by-step guide to the Canada Visitor Visa application process for Indian applicants, from documentation to biometrics and decision.

Overview

Applying for a Canada Visitor Visa involves more than filling out a form. It is a sequence of interconnected steps, each of which can affect how smoothly the next one goes. Indian applicants generally apply online through the IRCC portal, after which they typically attend a Visa Application Centre for biometrics, and then wait for a decision while the application is reviewed. Where many applicants stumble is not in any single step but in the transitions between them: uploading documents in the wrong format, missing a biometric appointment window, or submitting a form that does not match the supporting documents. A methodical, well-sequenced approach reduces avoidable friction and helps ensure your file is reviewed on its merits rather than delayed by administrative issues. This guide walks through the practical sequence of applying, what to prepare before you start, and what each stage actually involves so there are no surprises along the way.

How This Fits Into the Overall Application

The steps described here are the practical sequence; the reasoning behind each document is covered in the Canada Visitor Visa guide. To see how the process ran for a couple travelling together, read the spouse accompanying a principal applicant case.

After Approval: Submitting Your Passport

If you applied online and your application is approved, IRCC places a letter in your IRCC account with instructions to submit your passport. You cannot travel to Canada until the visa has been put in the passport you submit, so act on that letter promptly. Any deadline that applies to your case is stated in your own letter, so follow it rather than a general figure.

  • Submit the same passport you used for the application. A newer passport can cause delays and does not necessarily extend the visa’s validity, because an officer decides when your visa will expire.
  • In India, VFS Global handles passport submission for Canada. Follow the method given in your IRCC letter; VFS also lists an optional service for submitting your passport and documents without visiting the centre. Some passport services carry a service charge, so check the current VFS Canada service charge page rather than relying on a figure from a third party.
  • After the visa office has made its decision and placed the visa, the passport is returned to the visa application centre, which tells you through your preferred method of communication. You can follow progress online with the VFS tracking tool, then collect the passport in person or request return by courier.
  • When your passport returns, check the visa counterfoil: your name, passport number and the validity dates IRCC has granted.

Timings vary by case and visa office. Neither IRCC nor VFS commits to a fixed passport turnaround, and we cannot promise one either. Sources: IRCC, what happens after you apply and VFS Global Canada India FAQ.

Visa Validity

The last step of the process is receiving the visa counterfoil in your passport. Check the dates printed on it: IRCC may grant up to 10 years, but not beyond the expiry of your passport or biometrics, and some applicants receive a shorter validity or a single-entry visa. The visa lets you travel to Canada and ask to enter; the border services officer then decides entry and the length of your stay.

Important Notes

  • Applying online generally allows easier tracking than paper applications, though both are accepted.
  • Biometric information is typically valid for several years, so returning applicants may not need to repeat this step every time. Eligibility should be confirmed at application.
  • Document file formats and size limits matter. Check current portal requirements before uploading.
  • An incomplete application can be returned for correction, which restarts part of the process and adds delay.
  • Keeping digital and physical copies of everything submitted helps if any clarification is requested later.

Common Mistakes to Avoid

  • ✗Starting the application before all required documents are ready
  • ✗Uploading mismatched or incorrectly labelled documents
  • ✗Missing the biometric appointment window after notification
  • ✗Paying fees through unofficial or incorrect channels
  • ✗Leaving mandatory form fields blank or inconsistent with supporting documents
  • ✗Not retaining proof of fee payment and submission confirmation

Frequently Asked Questions

Can I apply for a Canada Visitor Visa without internet access?
Paper applications are still accepted in certain cases, but the online process is generally faster to track and is the recommended route for most applicants.
Do I need to visit a Visa Application Centre for every application?
Biometrics are typically required, which involves visiting a VAC, unless you have valid biometrics on file from a recent previous application.
How do I know my application has been received?
Your IRCC online account will show a confirmation and status update once your application and fees have been successfully submitted and processed administratively.
Can someone else submit the application on my behalf?
A representative or family member can assist with preparation, but the application must accurately reflect the applicant’s own information and intent.
What happens after biometrics are submitted?
After biometrics, your file moves into substantive review, where an officer assesses your eligibility, funds, and ties before reaching a decision.
Is an in-person interview always required?
Most visitor visa applications are decided without an interview. An interview may be requested only if the officer needs further clarification.
