Schengen Visa Application Process from India

Step-by-step guide: from choosing the right consulate to collecting your passport

Processing time: 15 calendar days (standard) after biometric submission. Apply at least 3 months before travel — appointment slots at VFS/BLS fill up fast, especially during peak season (June–September).

Step-by-Step Application Process

1
Determine Which Consulate to Apply To

Apply at the consulate of your main destination country — where you spend the most days. If equal time in multiple countries, apply at your first port of entry. For mixed itineraries (e.g., France 10 days + Italy 5 days), apply at the French consulate. Each country's consulate has different appointment availability — check early.

Schengen Tourist Visa Application Process for Indian Nationals

Indian citizens require a Schengen visa to visit Europe's 29 Schengen zone countries. The application process involves submitting your documents at the consulate of the main destination country (where you spend the most nights).

Step 1: Determine Which Consulate to Apply At

Apply at the consulate of the Schengen country where you will spend the most nights. If your time is split equally, apply at the country of first entry. For a multi-country Europe trip, plan your itinerary first, then decide where to apply based on the destination with the most nights. Our multi-country tourism case walks through that decision.

Step 2: Check Your Eligibility

Review the complete Schengen visa eligibility criteria: valid passport with at least 3 months' validity beyond your planned departure from the Schengen area, proof of financial sufficiency (the amount varies by destination country — check the specific consulate's requirements), return flight tickets, accommodation bookings, travel insurance covering €30,000, and a clear travel history.

Step 3: Book Your VFS or BLS Appointment

Most European consulates in India use VFS Global or BLS International as authorised visa application centres. Book your appointment online through their portal. Popular consulates (France, Germany, Italy) have high demand — book 4–8 weeks in advance, especially during peak seasons (Apr–Jun, Sep–Nov).

Step 4: Prepare Your Documents

Gather all required documents (see Schengen tourist visa documents checklist): completed application form, passport-size photos (white background, 35×45mm), travel insurance policy, bank statements (recent months, showing funds appropriate to your trip), confirmed flight bookings, hotel reservations, and leave letter from employer or ITR for self-employed.

Step 5: Submit Application and Pay Fees

Attend your appointment at the VFS/BLS centre. Submit your documents, provide biometrics (fingerprints + photo), and pay the revised statutory visa fee: €90 for adults, €45 for children aged 6–12, and free for children under 6 (mandatory travel medical insurance covering a minimum of €30,000 for emergency medical and repatriation expenses under Article 15 of the Visa Code is required). Fees are non-refundable even if the visa is refused.

April 2024 European Commission 'Cascade' Rules for Indian Nationals: Indian passport holders who reside in India and have lawfully obtained and used two Schengen visas in the previous three years are now eligible for a 2-year multi-entry visa. Following the successful completion of a 2-year visa, applicants can qualify for a 5-year multi-entry visa, provided passport validity permits. Multi-entry visa holders are permitted to stay up to 90 days in any 180-day period across the 29 Schengen member states.

Step 6: Track Your Application

After submission, track your application status through VFS/BLS's online portal using your reference number. The standard decision period is 15 calendar days from lodging the application, though complex cases can take longer.

Step 7: Collect Your Passport

Once a decision is made, collect your passport from the VFS/BLS centre or request courier delivery. Check the visa sticker carefully: verify your name, passport number, validity dates, and number of entries (single/double/multiple).

Multi-Country Trips: Which Schengen Country Should You Apply To?

Article 5 of the EU Visa Code (Regulation (EC) No 810/2009) sets the order in which the Member State responsible for your application is decided:

  1. One destination: if your whole trip is in a single Schengen country, apply to that country.
  2. Several destinations, one main destination: apply to the country that is your main destination in terms of the length or the purpose of your stay. The country where you spend the most nights is the usual test, but if the real purpose of the trip (for example a wedding, a conference or a course) is in another country, that country is the main destination.
  3. No main destination can be determined (for example, equal stays in two countries): apply to the Member State whose external border you intend to cross to enter the Schengen area. The European Commission’s guidance describes this as the first country you will visit.

First entry is therefore a fallback, not the starting rule. It does not decide anything where one country is clearly your main destination, and where you fly in is not the test. You normally lodge the application at that country’s consulate or visa application centre covering your place of residence in India. If the responsible country is not present in India, it may be represented by another Member State, so confirm on its official embassy page. Your itinerary, bookings and insurance should match the country you choose.

Common Reasons for Schengen Visa Refusal

The most frequent refusal reasons include: insufficient bank balance, lack of strong ties to India (property, family, employment), unclear purpose of travel, previously overstaying a Schengen visa, and inadequate travel insurance. See the Schengen visa refusal reasons guide to understand what to avoid.

How Long Does a Schengen Visa Take?

Standard processing takes 15 calendar days from the date biometrics are recorded. In individual cases this can be extended up to 45 days. Apply at least 3–4 weeks before travel (and never later than 15 days before it), and no earlier than 6 months before your trip.
