How to Use This Checklist
Every Schengen consulate requires a similar core set of documents, though specific consulates (France, Germany, Italy, Spain, etc.) may have additional requirements. This list covers the universal mandatory documents plus commonly requested supporting documents.
Apply at the consulate of your main destination country — the country where you will spend the most nights. If equal nights, apply at the first country you enter.
Processing times vary by consulate. Apply at least 15–30 days before travel. You can apply up to 6 months in advance. French and Italian consulates often require appointments 3–6 weeks ahead.
Category 1: Visa Application Form
1 Application Form & Photographs
- Completed Schengen visa application form Mandatory — Downloaded from the consulate website or filled online via VFS/BLS portal

4 Flight & Accommodation Bookings
- Round-trip flight reservation Mandatory — Confirmed booking or flight itinerary from travel agent (not necessarily paid tickets)
- Hotel bookings / accommodation proof for all nights Mandatory — Printout with property name, address, dates of stay
- Invitation letter from host (if staying with family/friends) If applicable — With host's passport copy and proof of residence
- Detailed day-wise travel itinerary Mandatory — Covering all countries/cities you plan to visit
Do NOT purchase non-refundable flights before the visa is approved. Use a booking tool that provides a confirmed itinerary without charging until confirmed, or use a refundable fare.
5 Financial Documents (Proof of Funds)
- Bank statements for last 3–6 months Mandatory — Shows regular income and sufficient balance appropriate to your itinerary and length of stay (the required amount varies by destination country)
- Bank statement must be on bank letterhead with bank seal/stamp Mandatory
- Salary slips for last 3 months (salaried applicants) Mandatory
- ITR (Income Tax Returns) for last 2 years Mandatory — Form 16 for salaried employees
- Fixed deposit certificates / mutual fund statements Supporting
- If sponsored: Sponsor's bank statements + affidavit of support If applicable
No strict minimum balance is specified by EU rules — each Schengen member state sets its own requirement, so the expected amount varies by destination country. Check the specific consulate's current guidelines. Average balance over 3–6 months matters more than just the current balance.
6 Employment / Occupation Documents
- Salaried employees: Employment letter on company letterhead stating designation, salary, leave approval, length of employment Mandatory
- Self-employed / Business owners: Business registration certificate, GST registration, partnership deed / MOA-AOA Mandatory
- Students: Bonafide certificate from college/university, enrolled course, expected completion date Mandatory
- Retired: Pension slip/statement, retirement letter Mandatory
- NOC (No Objection Certificate) from employer / institution Mandatory — Confirms leave is approved and you will return
7 Civil Documents

8 Visa Fee Payment

Documents for Previously Refused Applicants
If you have a prior Schengen refusal, you must:
- Disclose it on the application form (there is a specific question)
- Provide the refusal letter from the previous application
- Write a cover letter addressing why circumstances have changed
- Provide stronger financial proof than last time
- Show additional ties to India (property, family, employment)
Hiding a previous Schengen refusal will result in automatic rejection and may lead to a longer ban. Always disclose fully and address the refusal reason directly.
