SCHENGEN FROM ANYWHERE IN GUJARAT

A Statewide Schengen Service Run From One Vadodara Office

Travellers from Bhavnagar, Jamnagar, Anand, Bharuch, Mehsana, Kutch and the rest of the state often ask whether a Schengen file needs a consultant down the road. It does not. IndoWorld Visa and Education Services works from a single office in Vadodara, and preparation for applicants elsewhere in Gujarat runs over video calls, WhatsApp and email. The one place you must attend in person is the visa application centre where fingerprints and a photograph are taken, and that is decided by the country you apply to, not by us.

This page sets out how we approach a Schengen short-stay application for someone living anywhere in Gujarat: which consulate should receive it, which personal situations need a written explanation, and what a complete file looks like before an appointment is booked. The general rules for the route are covered in our Schengen Tourist Visa guide.

THE FIRST DECISION

Picking the Right Consulate Before Anything Else

Under the common Schengen rules, an application goes to the country that is your main destination, meaning the one where you will spend the longest time or where the main purpose of the trip lies. When no country clearly stands out, as with coach tours or an evenly split plan, it goes to the country where you first enter the Schengen area. Many families plan ten or twelve days across four or five countries, and the classic error is lodging the file with whichever country offered the earliest appointment instead of the one the itinerary actually points to.

So our first job is to lay the trip out night by night, count the nights in each country, and confirm that hotel bookings, flight routing and the dates on the form all agree. Our multi-country tourism case shows this reasoning applied to a salaried traveller visiting several countries in one holiday.

Timing follows from the rules too. A file can be lodged no earlier than six months before departure and no later than 15 days before it, and the standard decision period is 15 calendar days, which a consulate may extend to as many as 45 when it needs closer scrutiny. The visa fee for adults is €90, and the company operating the application centre adds its own service charge. Our processing time guide explains how we plan backwards from your departure date.

Since 10 April 2026 the EU Entry/Exit System has been fully operational at Schengen external borders, so your fingerprints and facial image are also recorded on arrival and passports are no longer stamped. Indian passport holders still need a visa; ETIAS, the travel authorisation for visa-exempt nationalities, is not something they apply for.

PROFILES WE SEE ACROSS GUJARAT

Applicant Situations That Need Their Own Explanation

✓
Family business owners
Income from a proprietorship or partnership firm often moves between personal and business accounts. We help you show how the two connect through firm registration, ITRs and the account that will actually pay for the trip, following our Business Owner Visa Preparation Guide.
✓
Salaried professionals on a first Europe trip
Leave approval, salary slips and a firm return date usually carry this file. What trips people up is an itinerary that drifts between the hotel confirmations, the flight tickets and the dates entered on the form.
✓
Retired parents travelling for a holiday
Pension, fixed deposits and rent are perfectly sound funding, but a consular officer needs them explained rather than simply attached. Our retired applicant case shows how a written note on income sources supports the statements.
✓
Applicants refused once before
Refusal grounds such as insurance that did not meet the required cover, or no clear main destination, are usually fixable. Read our reapplication case and the Refusal-to-Remedy Framework before booking a new slot.
✓
Families and groups travelling together
Every traveller, including each child, submits an individual application even when the plan is shared. We make sure each person carries the same main destination, matching dates and a clear reference to whoever is funding the trip.
✓
Travellers combining tourism with business
A trade fair or supplier visit inside a holiday changes the stated purpose. We decide with you whether the trip is primarily tourism or business, because the purpose determines the supporting letters the consulate expects.

What a Complete Schengen File Contains

Consulates publish their own checklists, and our Schengen documents guide covers them in detail. Across all of them, these are the items we check first for Gujarat applicants.

✓A passport issued within the last ten years, valid at least three months beyond your planned exit and with two blank pages
✓Travel medical insurance with at least €30,000 cover for emergency treatment, hospitalisation and repatriation, valid across the whole Schengen area for every day of the trip
✓A night-by-night itinerary whose hotel bookings and flight routing point clearly to the country you are applying to
✓Bank statements, income tax returns and a note on salary, business or pension income showing who pays for the trip
✓Evidence of what brings you home: an employer leave letter, an active business, property or family responsibilities in Gujarat
✓Copies of earlier visas, and any previous refusal letter, so the new file answers each ground that was stated
HOW IT WORKS

How We Work With Applicants Outside Vadodara

1
Profile Call
A video or phone call to map your trip, your funding and any earlier refusals, and to agree which consulate the itinerary points to.
2
Shared Checklist
A checklist for that consulate, with scans reviewed on WhatsApp or email as you collect them from your bank, CA or employer.
3
Cross-Check
Forms, bookings, insurance and statements are compared against each other so that no date or figure contradicts another document.
4
Centre Visit and Decision
You attend the application centre you booked, and we stay available for any consulate request until the decision arrives.
GOT QUESTIONS

Frequently Asked Questions

I live in Kutch. Do I have to travel to Vadodara at any stage?▲
No. All of our work can be done remotely. The only journey you make is to the visa application centre used by the country you are applying to, which may be in Ahmedabad or in another city depending on that country’s arrangements.
Can two families from different Gujarat cities apply together for one group trip?▲
Each person applies individually, but a shared itinerary helps. Every file should name the same main destination and dates, and we check that each family’s funding and insurance stand on their own.
Which country do I apply to if I spend four nights in France and four in Switzerland?▲
When the nights are genuinely equal and the purpose is the same throughout, the rules point to your country of first entry into the Schengen area. We check the booked flights first, because a one-night change can move the main destination.
Does the Entry/Exit System change what I need to prepare?▲
It does not change the visa application itself. It adds a biometric registration at the Schengen external border when you enter and leave and replaces passport stamps, so allow extra time at your first airport.
How early can I apply for a family wedding in Europe next summer?▲
You can lodge the application up to six months before travel. Applying early leaves room for the consulate to request further documents without putting the trip at risk, while applications within the last 15 days before departure are not accepted.
My earlier Schengen application was refused. Should I reapply straight away?▲
Only once each refusal ground has been addressed. We read the refusal letter, work out what has genuinely changed, and sometimes advise waiting. Our refusal reasons guide lists the grounds we see cited.
